Apply Yourself Training


Apply Yourself training is offered to UNC Charlotte Graduate Faculty and Staff only.


The ApplyYourself (i-Class) System

Commonly referred to as "AY", ApplyYourself is a prospect, application, recommendation, and enrollment system. The Graduate School Admissions staff uses Apply Yourself to process ALL applications. What does this mean for you? That the review of graduate applications is now totally electronic. Training is available for Graduate Coordinators and Directors (GCDs), administrative staff, and committee members to become familiar with this system.

The ApplyYourself system consists of various components related to graduate education: Prospect Management, Application Management, Online Recommendation Management, and Enrollment Management. Although the Graduate School has all of these components in production, the training currently being offered is strictly tailored to the Application Management module.

Once you have attended the Application Module training session, you will access the entire graduate application online, including test scores and transcripts which are scanned by the Admissions staff and appended to the electronic AY file (in the Additional Applicant Information section). Recommendations to admit or deny applicants admission to the program are made electronically by GCDs, while "view only" access is available to administrative staff and members of Admissions Committees.

ApplyYourself Training

The Graduate School provides ApplyYourself training to Graduate Coordinators and Directors, administrative staff, and admissions committee members. Training Session Descriptions and Prerequisites

Application Module - This training session is for new AY users who will learn how to access graduate applications (including transcripts, test scores, and recommendations), how to make an admit or deny recommendation (graduate coordinators only), and how to export data to an excel spreadsheet.

Prospect Module - This training session is for new AY users who will learn how to enter prospective applicants in the AY database, how to retrieve prospects from the database, and how to export them to an excel spreadsheet.

Individual Appointments - Appointments are made with individuals to create program-specific queries, email templates, and/or Excel templates.

The ApplyYourself website contains training information, as well as help features, which are "vanilla" to the system that you can access at your convenience. The full schedule can be viewed inside the i-Class WebCenter in the "Training Information" menu after you have logged into your account.

ApplyYourself System Overview

Prospect Management

The Prospect Management system provides a Prospective Applicant form. Data collected from this form or from other prospective applicant sources are managed in the ApplyYourself WebCenter, the back-end system for managing prospective applicant data and initiating communication activities. The system's communication tools allow for immediate and targeted communications to prospective applicants. Querying and analysis tools allow for history viewing and activity tracking to assess the effectiveness of recruiting efforts.

Application Management

The Application Management system provides BYU application forms. Applicant communication and tracking are facilitated through dynamic email templates and querying tools. The system also contains statistical reporting and analysis tools. Business rules are created by Graduate Studies in order to streamline the unique workflow process and to automate manual tasks. For example, a business rule can be set up to send an automatic email to an applicant when an application is submitted. The user-friendly multi-part applications, PDF printing, document upload, manual application entry, and online fee payment provide additional functionality. Application data are uploaded to the AIM system daily.

Online Recommendation Management

The Online Recommendation Management system provides recommenders a step-by-step, secure method for submitting recommendations online. It also allows applicants to monitor recommendation status online. The system allows personalized messages to be sent to recommendation providers and provides authenticity verification. Recommendations are linked to the applicant's submitted application.

Enrollment Management

The Enrollment Management system provides admitted students a way to indicate their intent to enroll online. Graduate Coordinators and Directors can monitor enrollment confirmations online.
